Following agendas were discussed
1. Updates from committee heads
Registration: There are 58 registrations till date. It was decided that last date for registration will be 15 Nov 2016.
In case, you are not sure by 15 Nov 2016 even, do drop in a line, so that we have an idea about the number of “on the spot” registrations (There is no late fees).
Payment schedule (in Rupees) for the event remains same

Accommodation: There are no rooms left at venue hotel. Event manager promised us 55 rooms, but they have managed to arrange 50 rooms only till date at the venue hotel. We are trying our best to fit everyone registered till now. Kindly bear with us for any delay in confirmation as we are working on first come first serve basis
No more rooms at venue hotel. But we do have other hotels, in case anyone is interested. Expenses above 3000 rupees will be borne by the occupants.
Teacher invitation and College permissions:
Girish Dogra is working very hard to get permission from the college authorities. Auditorium has been booked (Single date charges are 30,000 rupees). There are 4-5 more departments, from which he has to take permission for smooth conducting of the event.
He is working alone and efficiently. His efforts were highly appreciated.
Stage Committee and college function committee
Amit and Chetan were ready with plans, but they have no communication from college morning function committee.
Unanimous decision was taken to club stage and college morning function committee.
We believe that morning college function is most important part of our function.
Hence, these committee members are being told to group up and set everything in order.
Dr Sudhir Agarwal and Dr Akash Juneja will be co-team leaders of this committee and will come out with minute-to-minute program by next meeting i.e.20 Nov 2016
For their information, morning function will be from 10 AM to 1.30 PM, which includes one hour-long teacher felicitation part from 1230 to 130 Pm followed by lunch.
Catering
Things are in order. We have added wine in the dinner menu.
Dinner proceedings
Unanimously, it was decided that 4-5 presentations from our batch mates during this time would be appropriate.
For that, please let us know about it by 15 Nov. 2016 for the smooth functioning of the evening program, which includes live music band & dinner with cocktails.

Girish Dogra is working on the necessary permissions. Anatomy hall visit is final..
JBH hostel is now part of girls hostel. We are trying hard to get permission to visit our rooms. It is not going to be easy. We might not get that permission. But we are trying..
Memoirs-
Badges, memoirs and plaques are being prepared with great help from Chetan, Amit and Suneet.
Chetan will now focus more on the 58 registered friends. But, we strongly feel that everybody should contribute, even if they are not going to make it. They will have to register on website ( www.gomco9195.classquest.com) and fill in the form and submit required photos ( Your present photograph and one photograph with family)

Based on the data given by us to event mangers, they are making program.
2. Update from Event mangers
Only 50 rooms have been promised by Eqbal Inn till now to the event manager. They may get 4-5 more rooms by 22 or 23rd December depending on the availability.
They will require material for badges and memoirs by 20 Nov 2016.
They wish to meet team leaders of respective committees on 20 Nov 2016, so that important issues can be discussed, esp. 24 morning function heads.
3. Table agenda:
A) Motivate more batch mates to attend meeting: Every registered delegate is requested to motivate their batch mates ( Final prof batches) to attend as it’s a once in a life time event.
B) Next meeting-: It was unanimously decided that next meeting would be held at Sirhind on 20 Nov 2016 at 3 PM. Exact venue and time will be conveyed later.
C) Refund Policy: it was unanimously decided that request of refunds will not be entertained from 17 Oct 2016 onwards.
Regarding previous request for refund of money (Prior to 17 Oct 2016), we will be refunding money only after the function, if we have any left over money.
It is important to note that few of our local Patiala batchmates have paid for rooms that they are vacating for out of town guests. Kudos to them .
